Processing Tasks

A warehouse task is the mobile version of a warehouse document. It consists of a header and the positions. Tasks are created automatically from the Business Central documents (see Document Integration) or are created on the device (see Ad-hoc Processes and Physical Inventory).

The flow on the device is always the same: task list, open the task, record and confirm positions, complete the task.

Task status and priorityโ€‹

FieldValues
Task StatusOpen: in progress. Processed: completed. Applies to the header and each position.
PriorityHigh or Normal (default). Is set on the document in Business Central and passed on to the task. Tasks with high priority are at the top of the list.
Transfer StatusStatus of the transfer to the document: Pending, Transfered, Posted, or Error (see Data Transfer).

Task listโ€‹

The Activities list opens via a tile in the Role Center. Each task shows up to five information fields, for example document number and external document number, customer or vendor, the progress, and the address.

The progress is shown in the format "3 of 10" with a symbol: ๐ŸŸฆ priority Normal, ๐ŸŸฅ priority High, โœ… processed. A ๐Ÿ”’ in front of it indicates that the task is locked.

With Show All, you also see processed tasks; with Reset View, only open ones again.

Which tasks a user sees

A user sees only tasks that nobody is processing yet, and the user's own tasks.

If Guided Task Selection is enabled in the handling setup, ScanSPOT decides which task is next:

SituationShown
Guided Task Selection offown tasks and all free tasks
Guided Task Selection on, the user has own open tasks, none of them lockedonly the own tasks
Guided Task Selection on, otherwiseown tasks and the next free task

Similar tasks

If Group Similar Tasks is enabled, open tasks of the same type for the same location and the same customer or vendor are listed below each other. This lets you, for example, handle several picks for the same customer in one trip.

Task cardโ€‹

The Activity task card has the document area at the top with number, external document number, customer or vendor, and comment. If, in the handling setup on the Additional Process Values tab, Show in Header is turned on for an additional field, the additional field is shown as another line in the document area. For a completed task, you can only view the values there. On the right of the document area is the โˆš button (complete task) or X (reopen task).

Below are the Positions. By default, the list shows only open positions; for ad-hoc processes, all of them.

Scanning on the task card: If you scan an item, ScanSPOT opens the first open position with this item and plays a confirmation tone. If there is no matching position, the error tone sounds.

ActionEffect
Scan BarcodeScans with the device camera.
Add New LineCreates a new position. Only for Ad-hoc Sales Order and Ad-hoc Neg. Adjustment.
Edit Document DataOpens the header data of the process, for example customer, external document number, and additional fields.
Confirm / CancelCompletes the task or reopens it.
Show All Lines / Show Open Lines onlyShows all positions or only the open ones.
Lock Task / Unlock TaskSee Locking tasks.
DeleteDeletes the task. Only for ad-hoc processes.

Position cardโ€‹

The Position card shows the item number, description, variant, the target quantity, and the item picture at the top. Below are the input fields. Which fields appear depends on the item, the location, and the handling area:

FieldAppears
Item No., Variant Codefor physical inventory and ad-hoc processes. Can be changed only for positions that were added on the device.
From Bin Codefor a take at a location where bins are mandatory
To Bin Codefor a put-away at a location where bins are mandatory and for physical inventory
Lot No., Serial No.if the item is tracked accordingly
Expiration Dateif the item uses expiration dates; cannot be changed for takes
Actual Quantityalways

You fill in the fields by scanning (see Scanning), by entering values, or via the lookup list. For a take at a location where bins are mandatory, the lookup shows the Bin Contents; otherwise, the list of items or bins. The bin list shows the number of items per bin with a traffic light: ๐ŸŸข empty, ๐ŸŸก occupied, ๐Ÿ”ด movement blocked.

With - and +, you change the actual quantity by 1. The large โˆš button confirms the position; X reopens it.

ActionEffect
Scan BarcodeScans with the camera.
Split LineSplits the position, see Splitting positions.
DeleteDeletes a position that was added or split off on the device.
Confirm / CancelProcesses the position or reopens it.
Print LabelPrints a label for the position. Appears only if a label matches in the Label Matrix.

Splitting positionsโ€‹

A position is split if only part of the quantity is recorded or the quantity consists of several lots or serial numbers.

  • Manually: Record the partial quantity and choose Split Line.
  • Automatically: If Automatic Line Splitting is enabled in the handling setup, ScanSPOT splits on its own when you confirm.

Locking tasksโ€‹

When a user opens a task, the user becomes its processing user. Others then no longer see the task. If the user closes the card without having confirmed a position, ScanSPOT releases the task again.

With Lock Task, the user keeps the task even if the user leaves it without progress. Unlock Task removes the lock.

Completing a taskโ€‹

When all positions are recorded, complete the task with โˆš in the document area or with Confirm. If not all positions are completed yet, ScanSPOT first asks whether you want to complete the task anyway. With No, the task stays open and the task card stays open, so you can record the remaining positions. Depending on the handling area, ScanSPOT then asks for further data, for example the target bin of a pick. The task gets the status Processed. Then ScanSPOT writes the data to the document and posts it, depending on the setting in the handling setup directly or via the job queue (see Data Transfer).

With X or Cancel, you reopen a completed task, as long as it is not posted yet.
