Setup
You set up ScanSPOT on the Module Setup - ScanSPOT page. You can find it with the search ("Tell me what you want to do") using the term "Module Setup" or "ScanSPOT". All other setup pages open from actions on this page.
For the setup, you need the permission set SPOTS ScanSPOT - Admin (see Permissions and License).
Recommended order
- In standard Business Central, maintain the Warehouse Employees per location. ScanSPOT shows each user only tasks and locations for which the user is a warehouse employee.
- In Module Setup - ScanSPOT, select the Enabled field.
- In Handling Setup, enable the handling areas you need. Keep the limits of your license plan in mind.
- For each handling area, unlock the locations via Locations. Without unlocking, a handling area does not work at any location.
- Optionally, block individual users per handling area via Warehouse Employees.
- For each handling area, check the settings via Configure. For Ad-hoc Transfer and Ad-hoc Neg. Adjustment, an item journal and a task no. series are mandatory.
- Maintain Mobile Devices and assign them to the users.
- If data is to be transferred or posted via the job queue: set the job queue entry of category SCANSPOT to Ready (see Data Transfer).
- Assign the profile ScanSPOT Warehouse Employee - Mobile Device to the users on the device (see Role Center).

Handling setup card
The card opens via Configure or by clicking in the Configuration column. Which fields appear depends on the handling area.
Setup tab, Processing group
| Field | Description | Handling areas |
|---|---|---|
| Guided Task Selection | In addition to the user's own tasks, the task list shows only the next free task instead of all free tasks (see Task list). | Put-away, Pick, Invt. Put-away, Invt. Pick |

| Default Actual Quantity | Remainder: The recorded quantity is prefilled with the open quantity. Blank: It starts at 0 and is entered on the device. | all with configuration |
| Automatic Line Splitting | If a position is confirmed with less than the target quantity, ScanSPOT automatically creates a new position for the remainder. For document handling areas, the field is called Automatic Line Splitting (Item Tracking only): There, lines are split only for different lots or serial numbers. | Warehouse activities and document handling areas |
| Update On Finish Activity | Whether and how the recorded data is written to the document after the task is completed: Deactivated, Direct, or Via Job Queue. | all with configuration |
Posting group
| Field | Description |
|---|---|
| Post On Finish Activity | Whether and how the document is then posted or registered: Deactivated, Direct, or Via Job Queue. Can only be changed for handling areas that can post. |
| Print On Post Activity | Also prints when posting. Available for warehouse receipt, warehouse shipment, purchasing, sales, and Ad-hoc Sales Order. |
What exactly the three modes do is described in Data Transfer.
Item Journal group (only Ad-hoc Transfer and Ad-hoc Neg. Adjustment)
| Field | Description |
|---|---|
| Item Journal Template Name | Template used for posting: for Ad-hoc Transfer of type Transfer, for Ad-hoc Neg. Adjustment of type Item. |
| Item Journal Batch Name | The journal batch must not have a number series. |
| Task No. Series | Number series for new tasks of this handling area. The task number becomes the document number of the journal lines. Without a number series, no task can be created on the device. |
Additional Process Values tab (only Ad-hoc Sales Order, Ad-hoc Neg. Adjustment, and Pick)
The tab shows a table with one line each for Additional Field 1 and Additional Field 2 and the columns Field, Caption, Show in Header, and Mandatory.
Field specifies which additional field is requested on the device. Choosing Empty clears the selection. The available options are:
| Handling Area | Fields | Target of the recorded values |
|---|---|---|
| Ad-hoc Sales Order | Custom fields of the sales header | Sales order |
| Ad-hoc Neg. Adjustment | Custom fields of the item journal line and shortcut dimension 1 and 2 | Journal line |
| Pick | Custom fields of the warehouse activity header | Warehouse activity header of the pick (see Additional fields for picks) |
Custom fields are fields with a field number from 50000 to 99999 (for example, from a customer-specific extension) of type Code, Text, Date, Integer, or Decimal, without a table relation and with a maximum of 100 characters.
Caption specifies the caption with which the additional field appears on the device, for example "Ramp" instead of the technical field name. If the caption is empty, the device shows the caption of the field in Business Central in the user's language.
Show in Header specifies whether the additional field appears as a separate line in the document area at the top of the task card.
Mandatory specifies that the additional field must have a value before the task can be completed. This is checked only when the task is completed (√ or Confirm).
Each additional field line makes the document area one line taller. If the height is not sufficient, you have to scroll in the document area. In that case, increase Document Info - Max. number of Lines on the mobile device.
Appearance tab, Brickview - Item group
The fields Item Brick 1 to Item Brick 5 specify what is shown in the five fields ("bricks") of a position in the mobile list:
| Value | Display | Default for |
|---|---|---|
| Item No. / Variant Code | "No. - Variant" | Brick 1 |
| Item Description | Description | Brick 2 |
| Item Description 2 | Description 2 | – |
| Quantity & Unit of Measure | Target quantity with unit of measure, for ad-hoc processes and physical inventory the recorded quantity | Brick 3 |
| Bin Code | "🤚 From …", "📥 To …" or "📝 In …", processed positions with ✅ | Brick 4 |
| None / Empty | – | Brick 5 |
If you change the bricks, ScanSPOT asks when you close the card whether existing tasks should be updated.
Unlocking locations
The Location Handlings page lists all locations except in-transit locations. A handling area works only at locations that are set to Enabled here. For locations that are not unlocked, ScanSPOT does not create tasks, and they do not appear in the location selection on the device.
By default, no location is unlocked. Unlock the locations per handling area. The unlocking applies only to the respective handling area: For example, an Ad-hoc Sales Order uses only the locations that are unlocked for the Ad-hoc Sales Order handling area.
In addition, each user sees on the device only the locations for which the user is registered as a Warehouse Employee in standard Business Central.
Blocking warehouse employees
The Whse. Employee Handlings page lists every user who is a warehouse employee for at least one location. By default, all warehouse employees may use a handling area. Clear the Enabled check box to block a user for this handling area.
A user sees a handling area on the device only if all of the following conditions are met:
- ScanSPOT is enabled in the module setup.
- The handling area is enabled in the handling setup.
- The user is not blocked for the handling area.
- The license plan includes the handling area.
Mobile Devices
Via Mobile Devices, you maintain device profiles. A device profile controls the display and the scanning behavior on the device.
| Field | Description |
|---|---|
| Name / Description | Identification of the device profile. |
| Default | This profile applies to all users without their own assignment. |
| Enable Clipboard Fallback | If the device does not support a function, ScanSPOT uses the clipboard instead. The option also turns on the recognition of hardware scanners that send like a keyboard (see Scanning). |
| Document Info - Min. number of Lines / Document Info - Max. number of Lines | Height of the document area at the top of the task card (1 to 10 lines, default 5). The area grows with its content from the minimum to the maximum. |
| Document Info - Button Width (px) | Width of the confirmation button in the document area (25 to 200 pixels, default 125). |
| Debug Mode | Writes diagnostic messages of the scanner components to the browser console. Only for troubleshooting. |
Via User Mobile Devices, you assign a device profile to users (column Mobile Device ID). Only users who already have an entry in User Setup appear there. The Open User Setup action takes you there. Without an assignment, the profile with Default = Yes applies.
Prefix Key Codes
On the Prefix Key Codes page, you can specify a prefix per content type (Item, Bin) that a scanner puts in front of the barcode.
