Ad-hoc Processes

Ad-hoc processes do not need a source document. They are started in the Task Menu on the device. Only on completion is the Business Central document created, which is then posted.

The following applies to all three processes:

  • The handling area must be enabled. Otherwise, "The … is not enabled. Please contact your system administrator." appears.
  • Only locations are available for which the user is a warehouse employee and that are unlocked for exactly this handling area in the Location Handlings page. If there is only one such location, ScanSPOT selects it without asking.
  • The task can be deleted as long as it is open.

Ad-hoc Transfer

With Ad-hoc Transfer, you move inventory of an item from one bin to another. Each ad-hoc transfer covers exactly one item.

Setup: In the handling setup, specify an Item Journal Template Name of type Transfer, an Item Journal Batch Name without a number series, and a Task No. Series.

Flow:

  1. Choose Ad-hoc Transfer in the Task Menu and, if necessary, choose the location.
  2. Choose or scan the source bin. Then choose or scan the item in the Bin Contents.
  3. ScanSPOT creates the task with a take position and opens the position card. The actual quantity is prefilled with the bin inventory (with the default Blank, with 0). You cannot take more than the inventory.
  4. Record quantity, lot, or serial number and confirm the take. ScanSPOT automatically creates the place position with the same quantity and item tracking.
  5. Scan the target bin in the place position and confirm. The quantity must match the quantity taken.
  6. Complete the task.

If you do not confirm the position card in step 3, ScanSPOT discards the task and shows the bin selection again.

Result: a transfer line in the set-up item journal with the task number as document number, the work date as posting date, from-bin and to-bin, and the item tracking. Depending on the setting Post On Finish Activity in the handling setup, ScanSPOT posts the line automatically (see Data Transfer).

Ad-hoc Neg. Adjustment

With Ad-hoc Neg. Adjustment, you post inventory as an outflow, for example breakage or shrinkage.

Setup: Item Journal Template Name of type Item, an Item Journal Batch Name without a number series, and a Task No. Series. Optionally, request further fields of the journal line via Additional Field 1 and Additional Field 2, for example a shortcut dimension.

Flow:

  1. Choose Ad-hoc Neg. Adjustments in the Task Menu and, if necessary, choose the location.
  2. Create positions with Add New Line: scan or record item, bin, quantity, and item tracking, and confirm.
  3. Complete the task.

Result: for each position, an item journal line with entry type Negative Adjmt., the task number as document number, the work date as posting date, and the values of the additional fields. Depending on the setting Post On Finish Activity in the handling setup, ScanSPOT posts the lines automatically (see Data Transfer). If a completed task that is not posted yet is reopened, ScanSPOT deletes the journal lines again.

If the task no. series is missing, the note "The task number series is missing." appears at the start with the button Open handling setup.

Ad-hoc Sales Order

With Ad-hoc Sales Order, you create a sales order on the device, for example for a customer who picks up the goods. ScanSPOT creates the sales order when the task is completed.

Setup: no number series needed. The order number comes from the sales order number series in the Sales & Receivables Setup. Optionally, request further fields of the sales header via Additional Field 1 and Additional Field 2.

Flow:

  1. Choose Ad-hoc Sales Order in the Task Menu and, if necessary, choose the location.
  2. In the Edit Data dialog, record the customer (mandatory), the external document number, and the additional fields.
  3. Create positions with Add New Line and confirm them. If bins are mandatory, the bin must be filled in.
  4. Complete the task.

Result: a new sales order with the Ad-hoc flag, the customer, the external document number, the additional fields, and one line per position including bin and item tracking. Posting works as for the sales order: only the shipment, if you want with a printout. You create the invoice as usual in Business Central.
