Packaging on Sales and Packaging Ledger Entries
When a sale is posted, PackSPOT writes the consumed packaging as packaging ledger entries. The packaging report is created from the entries. They come from two sources:
- from the item packaging list of each sold item,
- from the packaging that you enter for the entire document, for example the shipping carton or the filling material.
Both require that PackSPOT is enabled in the Module Setup.
Entering Packaging in the Document
In the Sales Order and in the Warehouse Shipment, you enter packaging that is not attached to an item, but to the entire document. There are two ways to do this.
Package Selection FactBox
The Package Selection FactBox is in the first position to the right of the document. It shows all packagings for which Selectable on Sales is selected, with description, consumption unit, and quantity. With + and −, you change the quantity. PackSPOT saves each click immediately. A quantity of 0 removes the packaging from the document.
Packagings Action
The Packagings action opens the Document Packaging Entries page of the document. Here you see all entered packagings and can add, change, and delete lines.
| Column | Description |
|---|---|
| Packaging No. | The packaging. It needs a consumption unit of measure code and a quantity per consumption unit. |
| Description | PackSPOT copies it from the packaging. |
| Quantity | Number in the consumption unit. |
| Unit of Measure Code | Consumption unit of the packaging. |
| Weight (g) | Total weight of the entered packaging. PackSPOT multiplies the Packaging Empty Weight (g) by the Quantity per UOM and the Quantity. |
| Quantity per UOM, Packaging Empty Weight (g) | Values from the packaging. |
Special Features in the Warehouse Shipment
In the warehouse shipment, you can only enter packaging if all lines come from sales orders and all these orders deliver to the same country. Otherwise, PackSPOT reports an error.
Packaging that you enter in the warehouse shipment appears in the posted warehouse shipment, but does not create packaging ledger entries. Therefore, enter packaging subject to reporting in the sales order. The packaging from the sales order is also posted when you deliver through a warehouse shipment.
What Happens During Posting
PackSPOT responds to every item ledger entry of a sale, that is, when posting a sales shipment or a sales invoice without a prior shipment.
- Item packaging list of the item: PackSPOT looks for the matching certified item packaging list (see Which List Applies During Posting) and converts its lines to the sold quantity. Embedded lists are resolved.
- Packaging in the document: For a sales shipment, PackSPOT copies the packaging entered in the sales order to the posted shipment and posts it once per shipment.
- Split: Each packaging is split according to its composition, one line per reporting category. The weight comes from the components. If no line of the composition has a reporting category, an entry without a category with the empty weight is created.
- Country and system operator: The country comes from the item ledger entry. PackSPOT determines the system operator and reporting category through the mappings per country of the packaging (see System Operators per Country).
If a packaging that would be posted in the process is blocked, the entire posting of the sale is canceled.
- For partial shipments, each shipment takes over the full document packaging entered in the order.
- Returns and credit memos do not create a reversal of the packaging ledger entries.
If you undo a shipment, its packaging ledger entries remain. If you then deliver again, PackSPOT posts the packaging a second time, and the packaging report is too high. In this case, correct the weight in the packaging report.
Posted Documents
In the Posted Sales Shipment, the Packagings action opens the Posted Document Packaging Entries page. It shows the transferred packaging with Posted Quantity and Posted Weight (g). The page is read-only.
Packaging Ledger Entries
You find the Packaging Ledger Entries - PackSPOT page through the search. It also opens from the Find entries... function of a posted document and by clicking the quantities of a packaging report. The entries are read-only; the newest are at the top.
